The Client

Castell Security Ltd was approached by the Event Manager of a high-end holiday park in North Wales to provide Event Security and Door Supervision Services for a Sixth Form Christmas Ball.

The Event Manager discovered Castell Security Ltd through a Google search for Event Security Services and selected our company from a number of security providers being considered for the event.

The Christmas Ball was attended by a large number of students and guests, creating a requirement for professional security personnel capable of maintaining a safe, secure, and well-managed environment throughout the evening.

The Challenge

The event presented several unique challenges.

Unlike many private functions, the Christmas Ball was attended by a mixture of guests who were legally permitted to purchase alcohol and others who were under the legal drinking age.

The venue required a system that would:

Planning & Preparation

Following our assessment, we worked closely with venue management to design entry procedures that would help manage age verification and alcohol control throughout the evening.

The original request was for three security officers. However, after reviewing the event requirements, Castell Security Ltd provided an additional security officer at no extra cost in order to ensure appropriate coverage across the venue.

We also recommended the use of a dedicated steward to manage vehicle movements and parking arrangements.

To support venue management, we introduced a colour-coded wristband system following age verification checks at the entrance.

Guests who were legally permitted to purchase alcohol received one colour of wristband, while underage attendees received a different colour.

All guests entering the event were subject to ID verification and bag searches in order to prevent alcohol being brought into the venue and to help maintain a safe environment for everyone attending.

If an attendee attempted to purchase alcohol without a wristband, security personnel were available to perform further identification checks and support venue staff where necessary.

This simple but effective system helped reduce confusion, supported responsible alcohol sales, and provided reassurance for both venue staff and event organisers.

Vehicle & Site Management

A dedicated steward was positioned within the car park throughout the event.

Their role included:

Managing vehicle movements
Assisting guests on arrival
Monitoring parking arrangements
Preventing vehicles parking in unsuitable locations
Protecting private caravan owner areas from unauthorised access

This additional support helped maintain safety around the site while reducing pressure on venue management and security personnel inside the event.

The Christmas Ball was delivered safely and successfully with no significant incidents.
